Our goal is to provide you with an exceptional, personalized training experience. Each course requires significant advance planning and investment to deliver the quality experience you expect, so if you need to cancel or reschedule a training course or tour, please let us help you by avoiding higher than necessary cancellation fees by letting us know as soon as you learn you’re unable to attend.
CANCELLATION TERMS BY PROGRAM
ADV Training and Challenge Training
91+ days before class: Full refund minus $100 transaction fee
22-90 days before class: Full refund minus $500 reservation hold
21 days or less before class: No refund available
Alternative: If you find a replacement student to fill your spot at full tuition, we will refund your full payment minus the $100 transaction fee.
Sunday School Outrides
Cancellation: Full refund minus 15% registration guarantee
Timing: Cancel up to the night before so we can offer your spot to another rider
No credits carry into the following year.
ADV Training Tours
Tours require more advance planning and have earlier payment deadlines. Full payment is due 75 days before tour start date.
105+ days before tour: Full refund minus $100 transaction fee
91-104 days before tour: 50% of deposit refunded
76-90 days before tour: Full refund minus deposit
61-75 days before tour: 50% refund
60 days or less before tour: No refund available
Why tours are stricter: Mid-week tours are difficult for riders to join on short notice. Hotel blocks and overhead costs are fixed and purchased months in advance. Cancellations rarely get filled.
International Trips
Due to non-refundable commitments with our partnering tour agencies, trip insurance is essential for international adventures.
181+ days before departure: $1,000 forfeited
121-180 days: $1,500 forfeited
91-120 days: 30% of trip price forfeited
61-90 days: 50% of trip price forfeited
60 days or less: 100% of trip price forfeited
PAYMENT REQUIREMENTS
ADV Training and Challenge Training
- Deposit or full payment required to guarantee your spot
- Payment plans available up to 21 days before start date
- Within 21 days of training: Full payment required at registration
- If paying in installments: Full payment is due 21 days before course starts
Failure to complete payment may result in automatic cancellation subject to our cancellation policy.
International Trips
- Registrations within 75 days: Full payment due at registration
- Deposit required at registration
- All others: Full payment due 75 days before tour starts
Failure to complete payment may result in automatic cancellation subject to our cancellation policy.
How to Cancel
Please email your cancellation request to motoguru@brettkacs.com. Your cancellation date is effective the date your email arrives, not when we respond. Due to our training schedule, responses may not be immediate, but we will process your refund according to the date it was received.
TRIP CANCELLATION INSURANCE
The most frustrating situation is when a rider needs to cancel a few weeks or days before an event because of an injury or damaged motorcycle. In these situations, we seldom have enough time to sell your spot and are unable to issue a credit or refund.
Because of a limited number of spots, a short training season and our goal to keep tuition low by minimizing profits margins, we cannot afford the financial loss that late cancellations cause.
If you’re unable to afford the loss in the rare case you’re not able to attend, here are some insurance options:
- Trawick International: We’ve partnered with Trawick to provide trip cancellation insurance for a covered issue that occurs prior to the course start date. You will see this option upon registration.
- Credit card: Many credit cards offer built-in trip protection. Check with your card issuer.
- Third-party providers: Companies like Travelex, Allianz, or Travel Insurance Services specialize in adventure travel protection.
Late cancellations typically happen from a new injury or aggravation of an old one and/or wrecking your motorcycle before your event. As you get ready to join us, please don’t try practicing the skills you are coming to learn (that’s our job).
As your class approaches:
- Take extra care of yourself
- Don’t practice advanced skills you’re coming to learn—that’s our job!
- Do get riding time to prepare yourself physically and mentally
- Focus on polishing skills you already have
- Consider trip insurance if the investment represents a significant financial commitment
WHY THIS POLICY EXISTS
When you register, we immediately commit resources to your class. Within a month of your training date, we’ve booked instructor flights, reserved hotels, hired specialized staff, rented property, shipped equipment cross-country, and ordered food based on confirmed roster numbers. These are non-refundable business expenses.
When riders cancel close to the training date, we have insufficient time to fill the spot. The result: we’ve spent your tuition on delivering your training, but you’re not there to receive it.
We don’t carry specialized insurance on our business expenses because the cost would force us to raise tuition significantly, which defeats our goal of keeping training accessible and affordable.
IF WE CANCEL
If we must cancel a class due to insufficient enrollment or other major reasons, you’ll receive notification as soon as possible. We exhaust every option to fill courses before canceling.
